Why is your HR Department still using paper forms?

Being in HR for over 20 years, I have seen or visited many HR departments that are still using paper. Employee files, performance reviews, offer letters, and the list just goes on. I wonder why HR departments are not automating their processes with technology and removing paper all together.

The technology is out there and has existed for years to allow HR departments to transition to a completely paperless environment. Utilizing technology results in eliminating paper related expenses and gives your HR team more time to focus on your employees, increases productivity and saves trees!

From the time an applicant applies for a job using your Applicant Tracking System and are hired, all forms could be sent for the new employee to complete or sign electronically. Most payroll systems offer ATS and Onboarding modules that integrate with payroll, allowing for digital employee files. Information could also be electronically sent to any other department as needed, outsourced payroll providers or the appropriate government agency.

The question that comes to mind is why haven’t many HR departments taken this shift and adapted modern technology with their HR processes? The bigger question is why are HR departments one of the few functions that have not evolved into using modern technology? I do not see payroll departments writing manual checks every pay period, but HR departments are still operating the way they did 20 years ago.

HR is a function that has operated in the back room for so long that they have trouble seeing the light and the new ways of the future. HR departments are overworked and tend to struggle with change and technology and often aren’t one of the most innovative functions within organization. Having the tools in place that automate processes, reduce errors, eliminate repeat manual keying, and free up staff time and reduce costs is a strong business case for transitioning from paper to technology. Add to this ensuring security of data, and the ability to be agile and responsive.
